Reporting and Analytics

Philanthropy Cloud includes giving and volunteering reports that show your workplace or organization’s collective impact. Run and export these reports to understand and act on the data.

Note: Based on organization preferences or your user role, some Philanthropy Cloud features may not be available.

Important for WAMs:

  • WAMs must make sure that they're in the right workplace context before performing any tasks. Functionality may differ based on workplace context and the associated privileges for that site.

  • WAMs can switch between the workplaces they administer and the context of their own organization, which itself may be a workplace. To switch between workplace contexts, enter the name of the workplace or organization in the Search field located in the toolbar.

Giving Reports

Giving reports include:

  • Giving Participation Report- Provides information about giving participation for your organization in a given date range.
  • Giving Report - Provides information about one-time and recurring pledges in a given date range. Recurring donations reflect an annualized value.
  • Payroll Giving Report- Provides detailed information about one-time and recurring payroll pledges in a given date range.

Volunteering Reports

Volunteering reports include:

  • Volunteer Participation Report- Provides information about volunteer sign ups and logged hours in a given date range. This report does not include future pledges.
  • Volunteer Activity Report- Provides detailed information about volunteer activity in a given date range. This report includes information about pledged, or future, volunteer activity.

Note: Volunteering reports capture and display the current information at the time the report is run.

Giving Participation Report

The Giving Participation Report enables you to better understand your organization’s giving participation so that you can continue to effectively engage donors.

This report provides information about giving participation for your organization in a given date range. Donors who made a one-time payroll or bonus payroll pledge during the date range of the report are included, as well as donors whose recurring payroll pledge start or end date intersects with the date range of the report. Inactive employees are not included in this report.

The Giving Participation Report includes the fields listed below. For in-depth data analysis, a number of other fields are also included in this report when it is exported.

  • Person ID - The employee's ID number.

  • Work Email - The employee's work email.

  • First Name - The employee's first name.

  • Last Name - The employee's last name.

  • Participated - Indicates whether the employee participated or not.

  • Donation Date - Indicates the date of the employee's donation. Recurring payroll donation dates are not indicated.

Note: Matching gift requests and logged donations are not reflected in this report.

To run a report:

  1. Select Reports.

  2. Select Giving.

  3. Select the date range for your report.

  4. Select Export to export the report.

Giving Report

The Giving Report provides detailed information about one-time and recurring pledges made in a given date range, including any active subscriptions.

Workplaces can measure the projected impact of recurring pledges if the donor fulfills their pledge over the course of the year. For recurring donations, Annual Value = Installment Amount x Annual Installment Count. For credit card donations, Annual Installment Count = 12. For payroll donations, Annual Installment Count = Annual Pay Periods. When a recurring donation amount is changed, Annual Value is recalculated to reflect that change.

The Giving Report includes the fields listed below. For in-depth data analysis, a number of other fields are also included in this report when it is exported.

  • Campaign Name - The campaign that this donation is associated with.

  • Impact Fund Name - The impact fund that this donation is associated with.

  • Impact Fund Owner Name - The owner of the impact fund, when the owner differs from the processor.

  • Nonprofit Name - The nonprofit organization that this donation is associated with.

  • All Time Actual Value Org and Org Currency - The donation amount in the preferred currency of the organization.

  • All Time Actual Value Donor and Donor Currency - Indicates the donation amount in the preferred currency of the donor.

  • All Time Actual Value USD - The donation amount in US dollars.

  • Status - Indicates whether one-time donations are new, paid, pledged, completed, or canceled. Indicates whether recurring donations are in progress or canceled.

  • Causes - The selected tags associated with the content to help drive recommendations and reporting, such as "Community Building" or "Hunger & Food Security".

  • Sustainable Development Goals (SDG) - The selected SDGs associated with the content, such as "Goal 7: Affordable and Clean Energy".

  • Donation ID - The ID associated with a one-time donation.

  • Subscription ID - The ID associated with a recurring donation.

  • Annual Installment Count - The number of annual donation installments at the time of donation.

  • Account Status - Indicates whether the user is active or inactive.

  • Installment Amount - The donation amount per installment period for recurring donations in the preferred currency of the organization.

  • Amount Last Updated - The most recent date when the donation amount was changed.

  • Previous Installment Amount - The previous donation amount per installment period for changed recurring donations in the preferred currency of the organization.

  • Annual Value - The annual value of the donation for recurring donations in the preferred currency of the organization. Reflects donation amount changes.

Note: The donation pledge date is not necessarily when payroll deductions started.

Note: A recurring donation is completed as of its Recurring End Date. However, its Status will reflect completion as of the payment cycle following the Recurring End Date.

Note: This report does not include installment payments on recurring gifts.

Note: This report does not include any fulfillment that occurs outside of Philanthropy Cloud, such as fulfillment of payroll deductions.

Note: Impact dashboard totals reflect a projected annualized value. Matching gift requests and logged donations are not reflected in this report.

To run a report:

  1. Select Reports.

  2. Select Giving.

  3. Select the date range for your report.

  4. You can group donations by Cause,Sustainable Development Goal, or Source. Workplaces can also group donations by Region or Department. WAMPs can additionally group donations by Workplace.

  5. Select Export to export the report.

Payroll Giving Report

The Payroll Giving Report provides information about payroll and bonus payroll pledges for your organization in a given date range. This includes anyone who made a one-time payroll or bonus payroll pledge during the date range of the report. The report does not include designation details or donations that are installments on recurring payroll donations.

The exported report is based on pledge date and includes one row per pledge. When a recurring donation amount is changed, a new row is created in the report to allow payroll administrators to view a history over time and to calculate payroll deductions. Each row displays the calculated amount for the number of installments for the calendar year at the installment amount. Status changes are reflected as applicable.

For annual or perennial fixed payroll, a new row is created when donation amount changes are made after deductions have started. When donation amount changes are made before deductions have begun, the existing row is updated with the new amounts. Note: To prevent donors from editing pledges that have already been disbursed to nonprofits, only CSAs, OAs, WAMs, and processors can edit one-time payroll and bonus payroll pledges.

For continuous payroll, a new row is created for every donation amount change. Since the first installment is created at the time of the pledged donation, it cannot be changed. Only future pledged donation amounts can be changed. The report displays one row for the initial pledged donation with all the installments that were processed, plus a new row for each donation amount change. Values are adjusted to show the payroll installments processed up to each change. The latest change displays the remaining annualization value.

Values for recurring pledges are displayed as annualized totals based on the number of employee pay periods at the time the subscription was created, where the annualized donation amount equals Installment Amount x Annual Recurring Periods. Any subsequent changes made to the number of employee pay periods are not reflected in this report.

The Payroll Giving Report includes the fields listed below. For in-depth data analysis, a number of other fields are also included in this report when it is exported.

  • Pledge Date - The donation pledge date. Note: This date is not necessarily when payroll deductions started.

  • Organization Amount and Currency - The annualized donation amount in the preferred currency of the organization.

  • Donor Amount and Currency - The annualized donation amount in the preferred currency of the donor.

  • Amount USD - The annualized donation amount in US dollars.

  • Pledge Type - Indicates one-time or recurring pledges.

  • Status - Indicates whether one-time donations are pledged, changed, or canceled. Indicates whether recurring donations are pledged, in progress, changed, or canceled.

  • Annual Recurring Periods - The number of annual pay periods at the time of donation.

  • Recurring Start Date - The date the recurring donation is scheduled to start. Note: This date is not necessarily when payroll deductions started.

  • Recurring End Date - The date the recurring donation is scheduled to end.

  • Payment Type - Indicates whether the donation was a payroll or bonus payroll payment.

  • Bonus Payroll Date - The bonus payroll date.

  • Installment Amount - The donation amount per pay period for recurring donations.

  • Account Status - Indicates whether the user is active or inactive.

  • Amount Last Updated - The most recent date when the donation amount was changed.

  • Previous Installment Amount - The previous donation amount per installment period for changed recurring donations in the preferred currency of the organization.

Note: A recurring donation is completed as of its Recurring End Date. However, its Status will reflect completion as of the payment cycle following the Recurring End Date.

Volunteer Participation Report

The Volunteer Participation Report provides information about volunteer sign ups and logged hours in a given date range. This enables you to determine the effectiveness of your programs, content, and events during that time.

The Volunteer Participation Report includes the fields listed below. For in-depth data analysis, a number of other fields are also included in this report when it is exported.

  • Logged Hours Participation- Indicates whether employees logged volunteer hours during the report date range.

  • Sign Up Participation - Indicates whether employees signed up for a volunteer opportunity during the report date range.

Note: The Total Participation Rate in the Volunteer Participation Report chart reflects logged hours participation. Exported report data also includes sign up participation.

Note: This report does not include information about pledged, or future, volunteer activity.

Note: To view Logged Hours Participation for a single day, set the From date to the day before the day you are querying. For example, if you are querying hours for 8/5/2020, set the date range from 8/4/2020 to 8/5/2020.

To run a report:

  1. Navigate to Reports and select Volunteering.

  2. Select the date range for your report. The report displays the current information at the time the report is run.

  3. Select Export to export the report.

Volunteer Activity Report

The Volunteer Activity Report provides detailed information about volunteer activity in a given date range. This enables you to better understand volunteer participation so that you can continue to effectively engage volunteers.

The Volunteer Activity Report includes the fields listed below. For in-depth data analysis, a number of other fields are also included in this report when it is exported.

  • Volunteer Type - Indicates whether logged time was ad hoc, meaning that time was not logged for a specific volunteer opportunity or beneficiary.

  • Attendance Type - Indicates in person or virtual attendance.

  • Schedule Type - Indicates one-time, shifts, or flexible. "Flexible" means that a volunteer can reach out to the beneficiary and volunteer according to their schedule.

  • Total Hours - Includes both manually and automatically logged time in HH:MM format.

  • Causes - The selected tags associated with the content to help drive recommendations and reporting, such as "Community Building" or "Hunger & Food Security".

  • Sustainable Development Goals (SDG) - The selected SDGs associated with the content, such as "Goal 7: Affordable and Clean Energy".

  • Beneficiary Name - The beneficiary specified for the volunteer opportunity. Ad hoc volunteer time does not display the beneficiary name.

  • Hours Type - Indicates whether hours are logged or pledged.

  • Campaign ID and Campaign Name - Indicates the campaign the volunteer opportunity is associated with, as applicable.

Note: This report includes information about pledged, or future, volunteer activity.

Note: The exported report displays one row per activity. One volunteer may have multiple rows associated with them.

Note: For manually logged ad hoc or flexible volunteer time, the UTC timestamp value in the datetime_utc column of this report indicates both the date that the volunteer entered and a default UTC offset time value of midnight in the volunteer’s local timezone. For example, time logged by a volunteer located in California for August 22, 2019 displays in the report as 2019-08-22 07:00:00.

To run a report:

  1. Navigate to Reports and select Volunteering.

  2. Select the date range for your report. The report displays the current information at the time the report is run.

  3. You can group the displayed information in a number of different ways, such as by cause, SDG, or beneficiary.

  4. Select Export to export the report.
