Philanthropy Cloud turns employees into citizen philanthropists by empowering them to give back and to make change.

As an administrator, you have the ability to guide and maintain Philanthropy Cloud for your workplace or organization in an effort to encourage your colleagues and others to give back to the communities where they live and work, and to transform the way they give and volunteer with the causes they care about.

Get to Know Philanthropy Cloud

To administer your organization or workplace, use the Admin menu. You can expand and close the menu by selecting Menu.

Important for WAMs:

  • WAMs must make sure that they're in the right workplace context before performing any tasks. Functionality may differ based on workplace context and the associated privileges for that site.

  • WAMs can switch between the workplaces they administer and the context of their own organization, which itself may be a workplace. To switch between workplace contexts, enter the name of the workplace or organization in the Search field located in the toolbar.

  • Support - If you need Philanthropy Cloud support, depending on your organization or role, as well as the support you need, you can contact your administrator or contact support. Support access can be enabled as required. Support access automatically expires after one week and can be revoked at any time. Note: If you are an admin and your workplace purchased Philanthropy Cloud from Salesforce, a CRM account and login is required to create and manage cases in Trailblazer.

Roles and Permissions

Philanthropy Cloud includes special administrative roles that can perform a variety of tasks that help others to engage with causes.

  • Organization Administrators (OA) have full site access for their organizations. They can configure settings and branding, manage users, develop and feature content and messaging, and run reports.

  • Champions have limited administrative access to Content Management for their organizations. They can create, edit, delete, and archive campaigns, stories, and volunteer opportunities. A champion's content is available for search, recommendation, and featuring. They can also view the volunteer lists for all volunteer opportunities.

  • Customer Support Agents (CSA) can manage users for the organizations they support. They can also provide user donation support and organizational administrative support for a limited time when explicit access is granted. For more information, refer to the Customer Support guide.

    Note: You must be in the context of an organization that is a Customer Support Partner to assign CSAs.

  • Workplace Account Managers (WAM) have full site access to administer workplaces they are managing. WAMs can configure settings and branding, manage users, develop and feature content and messaging, and run reports.

    Important for WAMs:

    • WAMs must make sure that they're in the right workplace context before performing any tasks. Functionality may differ based on workplace context and the associated privileges for that site.

    • WAMs can switch between the workplaces they administer and the context of their own organization, which itself may be a workplace. To switch between workplace contexts, enter the name of the workplace or organization in the Search field located in the toolbar.

    • Only Workplace Account Management Partners can assign and remove WAMs. Workplaces cannot assign or remove WAMs directly.

Onboarding Workflow

Important: We recommend that Administrators review the entire Admin User Guide and familiarize themselves with Philanthropy Cloud before beginning the onboarding process.

If you are administering a workplace, it is recommended that you set up the branding, settings, content, and Home page before adding users to prepare Philanthropy Cloud for them before they arrive. You may want to add other Organization Administrators (OAs) or Workplace Account Managers (WAMs) separately before you add users.

The recommended onboarding workflow is as follows:

  1. Brand Your Site
  2. Configure Philanthropy Cloud
  3. Manage Content
  4. Customize Your Home Page
  5. Manage Users

Important: Processors cannot process donations until the Stripe account is connected (see Stripe Connect) and the Tax Receipts and Pledge Confirmation Emails are configured.

Important: WAMs must always be aware of their workplace context to ensure that they are performing the appropriate tasks in the right workplace. Functionality may differ based on workplace context and the associated privileges for that site.

Manage API Tokens

You can generate and manage access credentials for the Philanthropy Cloud API and drive integration with external systems. Secrets cannot be retrieved after the Token is saved. You can create a maximum of 10 API Tokens (regardless of status). The Create API Token button is disabled upon reaching the maximum of 10 tokens. Expired tokens are noted and can be removed from the table.

Note: Based on organization preferences or your user role, some Philanthropy Cloud features may not be available.

To create a token:

  1. Navigate to Admin and select Integration.

  2. Select Create API Token.

  3. Enter a Name. Note that the name of the token will appear in the content created using the token.

  4. The Token is displayed.

  5. Copy the Secret to enable Save. You can select Copy Secret to copy the secret. For security, the Secret is only shown once.

  6. Select Save.

The token appears in the table and is good for a year from the date of creation. You can only have 10 tokens at one time. To remove a token, you have to deactivate it first, and then delete it.

To deactivate a token:

  1. Navigate to Admin and select Integration.
  2. In the appropriate row, select Actions and then select Deactivate.
  3. Confirm the deactivation by selecting Confirm.

The token is marked as Deactivated in the table.

To delete a token:

  1. Navigate to Admin and select Integration.
  2. In the appropriate row, select Actions and select Delete.
  3. Confirm the deletion by selecting Confirm.

The token is removed from the table.

FAQ: Philanthropy Cloud

Below are some Frequently Asked Questions (FAQ) that nonprofit and education institutions may have about Philanthropy Cloud.

Is my nonprofit or school listed in Philanthropy Cloud?

Philanthropy Cloud includes over 1.5 million US and Canadian nonprofits sourced from GuideStar and FrontStream (US Nonprofits) and the Canada Revenue Agency (Canadian Nonprofits). Philanthropy Cloud also includes all US and Canadian public schools for volunteering.

  • US Nonprofits: Philanthropy Cloud includes all active 501(c)(3) nonprofits that have not opted out of online donations via GuideStar. Philanthropy Cloud also includes additional donatable organizations and programs from FrontStream’s catalog.
  • US Public Schools: Philanthropy Cloud includes all active US K-12 schools listed in the NCES dataset. Public schools are volunteerable, but cannot be donated to in Philanthropy Cloud (Most public schools have affiliated PTAs or other charitable institutions through which they accept donations).
  • Canadian Nonprofits: Philanthropy Cloud includes all active Canadian charitable organizations, sourced directly from Canada Revenue Agency.
  • Canadian Public Schools: Philanthropy Cloud includes all active Canadian K-12 public schools. Public schools are volunteerable, but cannot be donated to in Philanthropy Cloud.

How can I update my organization’s listing in Philanthropy Cloud?

US nonprofits can update their GuideStar profile by logging into GuideStar. We receive weekly updates from GuideStar, so changes typically propagate to Philanthropy Cloud within 5-10 business days.

Canadian nonprofits need to update their information with the Canada Revenue Agency; this is typically done in your annual tax filing. We receive updates from CRA roughly quarterly.

Nonprofits cannot yet log into Philanthropy Cloud to directly update their profiles. We plan to offer this capability in the future; stay tuned for more information about Philanthropy Cloud for Causes.

What information about my organization does Philanthropy Cloud use from GuideStar and the CRA?

Philanthropy Cloud currently uses the following data elements to construct an organizations’ listing in Philanthropy Cloud:

  • Organization name

  • Organization formerly-known-as

  • Address/City/State/Postal Code/Country

  • Website address

  • EIN or CRA registration number

  • Organization logo

  • NTEE or CRA program codes

  • Mission statement

  • Program descriptions

    Note: Philanthropy Cloud currently shows a maxmimum of three programs on an organization’s profile. Although GuideStar allows organizations to add more, only the first three programs in GuideStar are imported into Philanthropy Cloud.

Can my nonprofit or educational institution purchase Philanthropy Cloud?

Yes! If you are interested in using Philanthropy Cloud to manage your organization’s employee giving and volunteering efforts, please contact your Salesforce.org Account Executive. If you don’t already have an Account Executive, contact Salesforce.org to learn more and get started today.

How will I receive donations from Philanthropy Cloud donors?

Philanthropy Cloud donations are processed either by United Way or FrontStream. Nonprofits receive funds from Philanthropy Cloud donors directly from United Way or FrontStream.
